Overview

Position Summary:  Under general supervision, provides highly complex and specialized administrative duties and support to the VP and head of the GSM functional unit for business insight, 5 top-management level leaders, and a large extended team (~25) of insight professionals working across the worldwide insight organization.

 

Travel and Related Requirements:  minimal to no travel required

Responsibilities

Essential Duties & Responsibilities 

  • Supports and manages calendars for the VP and her Leadership Team including 3 senior directors and 2 directors, and provides light administrative support for an extended team of ~25 professionals.
  • Manages budget and accruals for centralized data purchases, manages statement of work submissions/POs/invoice tracking for all projects executed by the GCI team, and manages the worldwide insight expense plan for the group
  • Functions with high degree of autonomy, manages projects, interacts effectively with all levels – both inside and outside the Company, sets priorities with direct supervision, manages highly confidential/sensitive materials and issues.
  • Arranges programs, events or conferences by arranging facilities, caterers, coordination of speakers and information, issues invitations, and controls event budget.
  • Directs preparation of records such as agenda, notices, minutes and resolutions for corporate meetings.
  • Acts as custodian of corporate documents and records.
  • Takes notes at key meetings; composes and prepares confidential and sensitive correspondence, reports and other complex documents.
  • Creates, maintains and updates database and spreadsheet files including the GSM Sharepoint site.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings for supervisor when requested.
  • Ensures project deadlines and performance standards are established and met.
  • Ensures compliance with all Company policies and procedures, including safety rules and regulations.
  • Performs related duties as assigned.

Qualifications

Position Requirements

 

Education Required:

High School Diploma or GED Required

Education Preferred

Bachelor’s Degree

Experience Required:

5+ years of administrative experience with at least 3 years supporting Vice President or similar level

Experience working in a multi-national organization with calendar management responsibility across multiple time zones and frequent international travel management experience. 

 

Experience Preferred:

Previous experience in the pharmaceutical industry or other highly regulated industry.

 

Specialized or Technical Knowledge Licenses, Certifications needed:

Advanced skill levels in MS Office including proficiency in Outlook, Word, Power Point, and Excel.

  

Demonstrated working knowledge of automated expense management systems.

 

Functional Knowledge:

Cross-cultural communication and collaboration skills.

The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, positive, proactive and resourceful.

 

Must be able to maintain the highest levels of confidentiality, integrity and discretion.   

 

Expert level written and verbal communication skills, strong decision making ability and attention to detail.

  

Prioritize and manage multiple, changing priorities simultaneously, and follow through on issues in a timely manner.

  

Experience scheduling complex international travel arrangements for senior leaders.

 

Must possess the ability to learn Teva’s global organization and interface with clients at a very high level.
